The Role
Project Youth is based across multiple sites in Georges River and Sutherland Shire local Government Areas. We have three (3) Youth Centres that function as both office spaces and program delivery sites; and four (4) houses that also function as office spaces and accommodation provision. Our Youth Centres are in Menai, Miranda and Hurstville. The houses are Sutherland, Jannali, Woolooware and Penshurst.
The Main Responsibilities
Equipment:
What is required: Upgrade and replacement of IT equipment for Project Youth including laptops, desk tops, ipads, server, docking stations, screens, PABX and handsets.
Why it is required: Consistent and quality products that connect across the organisation; equipment that is fit for purpose including the appropriate processing, memory and speed; enable collaborative working anywhere at any time; enable efficient hot desking; enable
connection to TV's, screens and power consistently across the organisation.

A recent audit has identified:
Existing:
- 30 staff Laptops (all need replacing)
- 12 client/student laptops
- 5 staff desktops (these can be converted to laptops)
- 7 client/student desk tops (these can be converted to laptops)
- 3 iMac’s (all need replacing)
- 6 x iPad’s (are all new and do not need replacing)
- 3 large printers (will remain and do not need replacing)
- 1 server (replace with a cloud-based solution)
- Landline phone system in place for all centres and houses (we are in contract)
- 30 phone Handsets
Additional equipment required:
- 25 docking stations, inclusive of screens, mouse, power etc (for the staff laptops to be
used at any desk)
- 5 additional laptops for school/program use
We would require a more in-depth audit to look at the quality and functions of the existing
equipment to determine what needs to be replaced and what can continue to be utilised. At this
stage we estimate that all laptops and desktops will be replaced and the student/client laptops
and iPads could remain.
All equipment that is going to be replaced will be donated to a young person in need.
Infrastructure and Telecommunication:
What is required:
- Hosted cloud-based network that is scalable as the organisation’s users or data needs
change
- A cloud-based document management solution to centralise, store and remotely access
organisational data and documents;
- Migration and integration with existing cloud-based systems including the Project Youth
Intranet; Xero – payroll system; Tanda – timesheet and leave system; ApprovalMax –
invoicing system; phones (mobile and landline); client management systems; and
Catherder – Board of Directors management system.
- Microsoft Office 365 cloud service offering
- Collaborative working software so staff can work efficiently together on the same document, project or piece of work (i.e. Slack, Trello, Google Doc’s, Microsoft Planner
etc)
- Cloud based telecommunication solution to enable voice, mobility, and messaging, and a centralised Project Youth contact number (i.e., 1300 or other solution)
Why it is required: To ensure Project Youth is fit for the future, drive cost effective solutions, makes our working environment more efficient, and creates the capacity to work flexibly in the online/cloud-based environment. This includes the ability to work from home, work remotely
and work from different centres/houses.
There are currently no collaborative working systems in place, although staff do utilise a range of free versions including Slack, Trello
The Person
Without prejudice to Project Youth’s right to reject non-confirming tenders, during the tender evaluation process, Project Youth may seek clarification from tenderers of matters and rectification or resolution of errors or omissions in Tenders. Tenderers may be requested to attend meetings with Project Youth at a time and place to be notified by the Project Youth.
Executive team to review and discuss such matters.
The criteria to be used in the tender evaluation process may include, but will not be limited to:
▪ Qualifications and experience of ITP partners and the relevant staff;
▪ Accreditations, registrations, certificates and licenses your company;
▪ Efficiency and productivity;
▪ Approach and methodology;
▪ Quantitative and qualitative review of information provided in, and comparison of, tenders;
▪ Capacity to deliver the services;
▪ Not for profit knowledge and experience;
▪ Innovation in the delivery of IT services;
▪ Working methods and Tenderers’ track record in the delivery of similar services;
▪ Tenderers’ personnel, resources, facilities and future serviceability capacity;
▪ Expertise in IT equipment and infrastructure provision and how it might be applied in the following circumstances:
▪ Cloud based solutions
▪ Collaborative working software for teams/organisations
▪ Business Continuity
▪ Tenderer’s financial stability and any risks associated with a Tender;
▪ Value for money; and
▪ Any other factors Project Youth considers to be relevant.

Interested ITP’s will complete the Expression of Interest form at the end of this document and submit it to kevin@projectyouth.org.au by 12 noon Friday 18th June 2021
Project Youth’s Finance & Risk Subcommittee (FRSC) will review all expressions of interest. The FRSC consists of the Treasurer, Board of Directors Chair, Board member, CEO and Finance Manager. The FRSC will contact ITP for further information/references prior to a final decision being made. The FRSC will then appoint the successful ITP.
Terms of appointment are in accordance with the Project Youth constitution and policy which
states the following conditions:
a) All appointments are made by Project Youth based upon a demonstrated ability to meet
the criteria
b) The contract will be for an initial 1-year period and will be subject to annual review by
the FRSC.
7. Submission
Project Youth invites interested, relevantly experienced, organisations to submit an expression
of interest to Kevin Crowe by 12 noon Friday 18th June 2021. Interested parties should address
the selection criteria stated above and complete the Expression of Interest form in attachment
