Administration and Volunteer Coordinator
The Role
The role will be based in Hurstville, Sydney. This is a 12 month contract with the plan to continue this dependent on funding and ability to expand the organisations back office support further as we scale and grow.
The role is fulltime 38 hours per week and is paid at SCHADS award level 5.
The role will provide and coordinate all service intake, administration and volunteer functions to ensure high quality back-office functions for Project Youth that enable the organisation to meet strategic priorities.
The role will provide and coordinate all administration work as designated by the CEO and Operations Manager; handle and coordinate all intake and support functions (including phone and web enquiries), and effectively manage our volunteers. The role will also manage an Administration & Marketing Support Worker.
The role will deliver, maintain and improve our systems and processes related to administration; build and maintain relationships with internal staff, Board, managers and volunteers; attract new volunteers to Project Youth; handle and coordinate all incoming calls and intake/referrals; and support the development and learning of an Administration & Marketing Support Worker.
The Main Responsibilities
Essential Experience & Qualifications:
• 2 years + experience in Administration and/or volunteering coordination
• 1 year + experience in managing staff
• Diploma or degree in relevant field
Essential criteria:
• Experience coordinating a volunteer program and/or experience providing administration support to an organisation
• Proven ability to maintain and build effective relationships both internally and externally
• Excellent computer and literacy skills
• Exceptional communication skills both written and oral, including excellent grammar, proofreading, attention to detail and accuracy
• Experience of using databases
• Meticulously organised
• An ability to work to targets and monitor performance against KPIs
• Able to demonstrate forward thinking and using initiative to improve systems and processes
• Excellent customer service skills
• Thorough understanding of the issues that impact young people facing disadvantage
• Able to engage and communicate with young people facing disadvantage, including being able to understand need and refer internally to the most appropriate program/team
• Good understanding of website processes and functions
• Demonstrable experience of managing and developing a staff member
• Self-starter with the ability to juggle a number of assignments at the same time, to react quickly, to meet deadlines, to organise a busy workload and to prioritise tasks
• Experience of managing projects independently or with minimal supervision - preparing schedules and plans and delivering against them
• Understanding and application of trauma informed practice and principles
• Understanding of not for profits
• Proven highly developed interpersonal skills, emotional intelligence and excellent engagement skills
Desirable criteria:
• Experience in conducting intake functions via phone and email/website for young people/families facing disadvantage
• Experience working in a youth related field and/or not for profit sector
• Experience implementing improved administration systems and functions
